Privacy Policy

This Privacy Policy explains how SeenBy ("we," "us," "SeenBy"), operated by P&I Digital Solution (Registration No. 202603129117 / NS0322940-V), collects, uses, and protects information in connection with the seenby.my website and the SeenBy AI visibility monitoring service.

SeenBy is committed to complying with the Personal Data Protection Act 2010 (Malaysia) ("PDPA").

1. What Information We Collect

From clients and prospects:

  • Business/brand information (business name, industry, website, target market)
  • Competitor names supplied for tracking purposes
  • Contact details of the primary contact (name, email address, phone number where provided)
  • Revenue inputs voluntarily provided for the value-estimate features (average deal value, conversion rates) — entirely optional, and the related features simply don't appear if not provided
  • AI referral traffic figures, if manually provided by the client from their own analytics

Generated in the course of providing the service:

  • Scan results — whether an AI platform mentioned a client's brand, and the associated response text
  • Scores and score history
  • Activity logs (scans run, reports sent, alerts triggered)

From the seenby.my website itself:

  • Standard technical data (IP address, browser type, pages visited) via normal web hosting/analytics — no more than is typical for a business website

We do not collect sensitive personal data (health records, financial account details, etc.) as part of the core service.

2. How We Use Information

We use collected information solely to:

  • Perform the AI visibility scanning and reporting service for our clients
  • Communicate with clients and prospects about their account, reports, and alerts
  • Improve the accuracy and relevance of our scans and recommendations
  • Meet our legal and contractual obligations

We do not sell, rent, or share client business data or contact details with third parties for their own marketing purposes.

3. Third-Party AI Platforms

To run a scan, SeenBy sends queries (e.g. "best [industry] in [city]") to third-party AI platforms — currently OpenAI (ChatGPT), Perplexity, Google (Gemini), and Anthropic (Claude) — and records their public responses. These queries do not include any client's private or confidential information; they mirror the kind of question a member of the public could ask these platforms directly. Each platform's own privacy policy governs how they process the query itself. SeenBy does not control, and cannot guarantee, what any AI platform says in response to a query.

4. Data Retention

  • Raw AI scan responses are retained for 90 days after a scan, then automatically and permanently deleted.
  • Client account data (profile, scores, reports, activity history) is retained for the duration of the engagement, and for 6 months after a client's contract ends or their account is archived, after which it is permanently deleted.
  • Prospect data (businesses scanned before signing up) is retained until the prospect either converts to a client or is manually removed.

5. The Client View Link

Clients receive a private, unguessable link to view their own results. We do not require a login or password for this link by design, so it's important that clients treat the link itself as confidential and don't share it publicly or with competitors.

Competitor names and raw, unredacted AI response text are never shown on the client view link or any other public-facing surface — only in private communications directly with the client (e.g. their monthly report and weekly email digest).

6. Your Rights

Under the PDPA, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Withdraw consent for us to process your data (which may mean we can no longer provide the service to you)
  • Request deletion of your data, subject to our legal retention obligations

7. Security

We take reasonable technical and organisational measures to protect information in our systems, including access controls on the admin panel and secure hosting infrastructure. No system is completely secure, and we cannot guarantee absolute security, but we treat client data with the same care we'd want applied to our own.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected with an updated "Last updated" date above. Continued use of our services after changes take effect constitutes acceptance of the revised policy.
